Managing Users With Program Rostering

Learn how to manage your rosters all from one place.

The new Program Rostering allows administrators to quickly view and manage all of a user's program assignments, team assignments, and organization-wide roles from one place. You can approve pending users, assign them to one or more programs, manage organization roles, or remove users—all from a single window.

Access the Program Roster:

  1. Navigate to Teams.
  2. Locate the user you want to manage.
  3. In the user's row, click the Roles column.

The Program Roster window opens and will display:

  • All program assignments
  • Team assignments
  • Organization-wide roles
  • Pending status (if applicable)

Approve a Pending User:

If a user has requested access and is Pending, administrators can approve or deny the request directly from the Program Roster.

To approve a user to a specific team:

  1. Open the Program Roster.
  2. Select the team you want the user to join.
  3. Click Approve.The user is approved and assigned to the selected team.

To approve the user without assigning a team:

  1. Open the Program Roster.
  2. Click Approve without selecting a team. The user is approved to the program but is not assigned to a specific team.

To Deny a Request From a Pending User:

  1. Open the Program Roster.
  2. Click Deny. The pending request is removed.

Add a User To a Program:

You can add users to additional programs at any time.

  1. Open the Program Roster.
  2. Click Add Program.
  3. Select the user's Role (for example, Athlete).
  4. Select the Sport.
  5. Select the appropriate Team/Level.
  6. Click Save. The new program assignment will appear in the user's Program Roster.

Add Multiple Programs at Once:

Users can be assigned to multiple programs before saving.

  1. Open the Program Roster.
  2. Click Add Program.
  3. Select the role, sport, and team.
  4. Click Add Additional Program.
  5. Repeat for each additional program you want to assign.
  6. Click Save. All selected program assignments will be added at the same time.

Manage Organization-Wide Roles

Organization-wide roles (such as Principal or other administrative roles) are displayed separately from program assignments.

Add an organization-wide role:

  1. Open the Program Roster.
  2. Select the desired organization-wide role.
  3. Save your changes. The role will appear in the Organization Roles section.

Remove an organization-wide role:

  1. Open the Program Roster.
  2. Click the X next to the role you want to remove. The role is removed immediately.

Remove a user from a program:

If a user should no longer be part of a program:

  1. Open the Program Roster.
  2. Select Remove or Delete for the appropriate program assignment.
  3. Enter a removal reason (for example, Athlete Graduated).
  4. Confirm the removal. The user will be removed from that program.

Notes

  • The Program Roster displays all of a user's program assignments and organization-wide roles in one place.
  • Users can belong to multiple programs and teams simultaneously.
  • Organization-wide roles are managed separately from program assignments.
  • Administrators can approve, deny, assign, or remove users without leaving the Program Roster.
